Events Assistant

MISSION

The function is carried out within the Sales Department, directly reporting to the Commercial Director. Ensure the proper functioning of the department, as well as assist in all activities inherent to it.

Help your superior and perform his duties with dedication and commitment, managing to acquire the largest number of clients possible.

MAIN RESPONSIBILITIES:

Plan the event with attention to financial and time constraints;

Search for suppliers and choose the best combination of quality and cost;

Response to Budgets; Negotiate with suppliers to get more favorable conditions;

Contact and negotiations with customers;

Pre-Bookings and Group Bookings;

Conducting BEO’s;

Preparation of Proforma contracts and invoices;

Manage the events department’s operations (preparing venue, invitations, etc.);

Monitoring and Coordination of groups at the hotel;

Make final checks on the day of the event (eg tables, technology) to ensure everything meets standards;

Supervise occurrences at the event and act quickly to resolve issues;

Evaluate the event’s success and submit reports; working under pressure The professional must be able to competently manage all the pressure that the profession requires.

It must  effectively manage time and workload.

Requirements Degree in Hotel Management/Public Relations/Commercial and Sales Management/ and similar Experience in the hotel industry Immediate availability Sense of responsibility and autonomy;

Communication and relationship skills, listening and empathy;

Ability to work in a team;

Emotional stability, physical and stress resistance;

Organized Domain of English (Required) Knowledge of OPERA (Preferred);

Taste for BackOffice work Team spirit available to learn Security and Protection Follow company and department safety and security policies and procedures to ensure a clean and secure environment.

Report accidents at work or other injuries immediately after the occurrence to the manager/supervisor.

Identify and correct unsafe procedures or working conditions and/or report them to the Personnel and Safety/Protection Department.

Complete proper safety training and certifications to perform job tasks.

Policies and procedures Protect the privacy and security of guests and coworkers.

Protect company tools, equipment, machines or other assets in accordance with company policies and procedures. Follow company and departmental policies and procedures.

Ensure that the badge and personal appearance are clean, hygienic, professional and in accordance with company policies and procedures. Maintain the confidentiality of proprietary materials and information.

Perform other reasonable work functions as requested by Supervisors.
